Job Summary Our fast-growing manufacturing firm, is seeking a Management Assistant & Office Manager. This position will provide the successful candidate the chance to newly establish and maintain all administrative facets of our new US operation. The person will have the ability to fill in for daily administrative tasks of management members like the President, Vice President of Finance, or Vice President of Sales & Marketing if required. Therefore, she or he must demonstrate integrity, dependability, excellent communication skills, and a strong willingness to establish new organizational processes as well as to master interdisciplinary tasks. Essential Duties& Responsibilities * Arrange meetings and appointments, prepare important documents, update records, and write reports. * Perform basic human resources tasks such as shift scheduling and overseeing new-employee on-boarding and training. * Process salary payments, ensuring their timely delivery to employees; manage their tax information. * Develop organizational procedures, including filing, billing, accounts payable, tracking bank account balance.s, etc. * Prepare and fact-check invoices before sending them to customers; request and process W-9 forms from new vendors. * Improve employee and client retention rates through active communication and problem-solving efforts. * Answer incoming phone calls and greet clients as well as suppliers as they arrive at our premises. * Support sales team in promotional campaigns, help to organize and attend most important trade shows (only 2 per year). * Order supplies and equipment as needed; coordinate outsourced service functions like IT or housekeeping. Skill set * Basic understanding of ERP systems and bookkeeping procedures. * Previous experience with administrative duties in an office setting. * Comfort with a fast-paced environment and must learn new IT systems to support administrative functions. * Exceptional customer service skills and professional phone manner. * Excellent written and verbal communication skills at a cross-functional level. Job Requirements * High school diploma/GED. * 3 years of experience in accounting, payroll, or an office setting. * Bachelors degree in Business Administration/Marketing/ Accounting or related area with 1 year of experience is acceptable in lieu of above requirements. Preferred Qualifications * Masters Degree. * Some accounting education and/or marketing experience. Potential for overtime depending on the needs of business.
