Summary of Job:Under the direction of the Human Resources Manager, the Benefits Coordinator works collaboratively, but independently under general supervision in carrying out complex work in administering leave and the company's health & wellness programs. Provides direct service to employees and improves the wellness of the organization. Works closely with Human Resources & other departments, and department managers to ensure coordination of leave and workers' compensation programs. Stays informed of new employee leave and safety-related laws, regulations, and trends. The Benefits Coordinator is responsible for the administration and coordination of Wellness sponsored and morale booster events.Essential Job Functions:Leave Programs & Workers' Compensation:* Administers leave programs and policies in accordance with federal and state employment laws (e.g. FMLA, Worker's Compensation, Short Term/Long Term Disability), company Policies and Procedures, and Collective Bargaining Agreements.* Reviews and assists HR Manager with leave requests based on relevant medical information, military orders, or other criteria to ensure compliance with applicable laws, policies, procedures, and collective bargaining agreements. Works directly with employees to ensure all relevant documentation is submitted for timely review. Prepares leave notices for the HR Manager for final review and signature.* Responsible for the day-to-day operation of the workers' compensation program including claim filing; records retention; reviewing and authorizing payment vouchers; implementing and assisting in preparing the Workers' Compensation budget. Collaborates with payroll staff in ensuring appropriate coordination of workers compensation benefits and leave use.* Coordinates administrative aspects of leave including ensuring appropriate and timely communications and notifications and tracking hours used/taken. Works closely with HR Manager, Department Managers, Timekeepers and Payroll to ensure that leave tracking and pay for employees on leave is accurate and correct.* Ensures maintenance of confidential information in compliance with the Health Insurance Portability and Accountability Act (HIPAA).* Assists with reviewing insurance bills for accuracy, correcting invoices, and ensuring that requestions for bills are being submitted properly.Wellness:* Recommends new programs or services offering to promote wellness in an effort to reduce absenteeism and claims expenditures while increasing employee engagement and morale.* Organizes and oversees health screenings such as flu shots, biometric screenings, mammograms, etc.* Develops marketing campaigns to promote a healthy lifestyle or participation in fitness and wellness programs.* Organizes and oversees wellness classes such as physical activity, nutritional seminars, chronic condition educational seminars, financial seminars, mental health seminars, etc.* Purchases and tracks inventory of wellness gift incentives.* Manages internal and external relationships to help support the introduction of new wellness strategies to improve employee health and reduce claims cost.* Tracks and reports findings to management on the financial benefits of wellness programs including a strong ROI; cost savings, retention, and participation.* Cross-trains with other Human Resources staff and assists in facilitating wellness topic to employees and managers.* Assists with various tasks for the open enrollment period - helping enroll employees, assist with getting information to vendors and other tasks.* Provides administrative duties for benefits to the HR Manager as needed.General:* Assists and provides administrative support, (i.e. procurement, formatting, filing, etc.).* Performs with excellence other duties as assigned.Education & Experience Requirements:* A High School Diploma/GED is required. A Bachelor's Degree in human resources, business, or health and safety is preferred. An equivalent combination of college-level work and experience may substitute for degree.* A minimum of 2 years of professional experience coordinating benefits and leave programs. * Must be proficient with MS Office: Word, Excel, PowerPoint, and Outlook as well as other safety and security-related platforms, applications, and programs.* Proven success in organizational transformation resulting in improved efficiency, effectiveness and enhanced brand value is a plus.Knowledge, Skills & Abilities:* Employee benefit programs and procedures.* All applicable employment, benefit and leave laws and regulations, especially those relating to FMLA, ADA, and Workers' Compensation.* High level of integrity and confidentiality in accordance with HIPPA and other employment laws.* Familiarity with conducting data analysis and reporting statistics.* Critical thinking and problem-solving skills.* Ability to prioritize and manage multiple assignments concurrently.* Great interpersonal and communication skills.Equal Opportunity Employer.
